Employers must reimburse employees for expenses related to work. Otherwise, you may very well have a claim for unreimbursed expenses. Some examples of purchases or expenses incurred that must be returned to you are as follows:
- Transportation expenses when you must leave the workplace to complete specific work-related tasks. This includes tickets or gasoline/gas if you use your own vehicle.
- Expenses for telephone services (landline or mobile) when used for work-related purposes.
- Shipping costs when documents or packages are sent on behalf of the company or related to work tasks.
- Publication subscriptions if they are necessary to complete your work
- Purchase of office supplies, including stationery, furniture, and decoration (if for the company and not for personal use).
- If you work for any employer with highly specialized equipment requirements and you purchase the equipment yourself (such as buying a required gun or ammunition, as well as paying the required license fees if you work for armored courier service).
- Purchase of uniforms, which includes ordinary clothing that has a distinctive design or color required by the employer
Even if your employer does not have a procedure to reimburse employees for necessary work-related expenses, you are still entitled to your reimbursement. In fact, do not give up your right to reimbursement if you have not yet requested it or if your employer tells you that you have signed a waiver of your right to reimbursement for expenses related to your work.
It is your employer’s responsibility to ensure that you are reimbursed. If you believe you have not been reimbursed for valid expenses, now is the time to act.
